The moment a proposal is accepted, every supplier on it is asked to re-confirm dates, availability and price. A small change is resolved with the traveller directly. A real problem finds a backup. A person steps in only if neither works.

Each supplier is asked to confirm the exact dates and rate they quoted, now that the traveller has said yes.
A room category swap or a different transfer time is put to the traveller for a yes, and applied when they give it.
A supplier who can no longer deliver is replaced with the next qualified quote from the board, and the traveller is told.
How it runs
The traveller accepts on their link. The trip moves to Confirmation.
Each is asked, on their side, to confirm the quoted line as booked.
Minor: put to the traveller. Major: a backup from the board.
All lines confirmed, the trip moves to Booking and payment requests begin.
Where a person steps in
A supplier gone unavailable with no backup on the board, or a price change the traveller will not accept, escalates to you with both sides’ messages in view. That escalation is the design, not a failure of it.
