The 7 Questions That Will Transform How You Book Travel Clients

Most travel agents jump to destination recommendations before they know enough about the client sitting in front of them. The result? A perfectly designed itinerary that doesn't land — because it was built for the agent's idea of a great trip, not the client's.

Asking the right questions before booking isn't just good practice. It's the difference between a one-time transaction and a client who books with you every year and sends their friends your way.

Here are the seven questions that top-performing agents use to qualify clients, reduce revisions, and close more confidently.

1. "What would make this trip feel like a success to you?"

This is your most powerful opening question and most agents never ask it. Rather than diving straight into "where do you want to go?", this question reveals what the client is actually optimising for: relaxation, adventure, culture, connection, status, escape. Their answer tells you which destination lens to look through.

Example: A client who says "I want to feel like I've actually switched off for once" is telling you to skip the packed 8-city itinerary and build something with white space. A client who says "I want my partner to be wowed" is telling you that the visual and experiential highlights matter more than authenticity.

2. "Tell me about a trip you've taken that you absolutely loved — and one that didn't live up to expectations."

This question does more in two minutes than a 30-minute questionnaire. You learn the client's taste, their tolerance for complexity, their accommodation preferences, and their relationship with spontaneity. The disappointing trip is equally revealing — it tells you exactly what to avoid, even if the client doesn't have language for it yet.

3. "Who are you travelling with, and what do they care about?

A solo traveller who loves food and wine books differently to a couple where one partner wants hiking and the other wants spa days. Group trips with families introduce entirely new dynamics. Asking about the travel companions helps you design something that works for everyone — and positions you as the agent who thinks about the full picture.

4. "Do you have a fixed budget, or are you open to hearing what the right experience actually costs?"

This question is subtle but powerful. If the client says they have a fixed budget, you work within it and maximise value. If they say they're open, you have an invitation to present the aspirational option alongside the standard one — and many clients will upgrade when they see what's possible for a relatively modest step-up. Agents who never ask this question leave significant revenue on the table every single month.

5. "What does your ideal pace look like — are you a 'do everything' traveller or a 'slow down and soak it in' traveller?"

Pace mismatches are one of the most common sources of negative feedback after trips. Some clients want to see six cities in ten days. Others want to stay in one place for a week and go deep. Knowing this upfront means you stop building itineraries that look great on paper but exhaust the wrong client.

6. "Is there anything you're nervous or uncertain about with this destination?"

This question builds trust and uncovers objections before they kill the sale. A client who is quietly worried about safety in a particular region, or confused about visa requirements, or anxious about language barriers, will often hold back those concerns rather than raise them — and then walk away to "think about it." Asking directly gives you the chance to address their concerns with knowledge and confidence, and positions you as an expert, not just a booking service.

7. "Have you thought about extending the trip, or adding a second destination while you're in the region?"

This is your upsell question, and it works best at the end of the qualification conversation when you understand the client and they trust you. Asking it too early feels pushy. Asking it after you've demonstrated understanding feels like a natural extension of a great conversation. Clients who are already excited about their destination are often very open to hearing about what else is nearby — particularly when you've done the legwork of knowing what packages are available.
